Distance increases the value of a clear appointment record. Before someone collects keys, instructs contractors or receives rent, document who they are, what authority they hold and how they must report.

Short answer: Check the agent or manager’s identity, company information, applicable real-estate licensing position, written authority, reporting process and money-handling controls. Do not treat a registration check as proof of performance, title or safe custody of funds. [1] Ghana Real Estate Agency Council [2] Real Estate Agency Act, 2020 (Act 1047)

The five checks to complete first

CheckEvidence to requestBoundary
Who is the person?Full name, contact details, ID process and role.Identity does not prove authority.
What entity do they represent?Registered company name, number and address where relevant.Company existence does not prove competence.
What regulated activity applies?Current REAC or other relevant licensing position.Ask the regulator; do not infer from branding.
What can they do?Signed appointment, scope, spending limit, access and termination terms.Keep title, legal and technical matters separate.
How will they report?Visit dates, invoices, photos, approvals, rent records and unresolved actions.A report is not a certification.

1. Check the person and company separately

Ask for the person’s full name, role, business contact details and the legal entity that will contract with you. Where a company is involved, use the Office of the Registrar of Companies entity-information search to check the company record and compare the returned details with the proposed agreement. A company search can support an identity check. It does not establish that a person is authorised to act for the company, that the company owns the property or that the service will be performed well.

2. Ask what licensing position applies

The Real Estate Agency Council describes its role in Ghana’s real-estate agency framework. The Real Estate Agency Act, 2020 establishes a framework for real-estate agency practice and licensing. Before appointing an agent or manager whose work falls within regulated real-estate agency activity, ask the Council what current registration or licence evidence applies to that person and activity. [1] Ghana Real Estate Agency Council [2] Real Estate Agency Act, 2020 (Act 1047)

Do not rely on an old certificate image, social-media badge or verbal claim. Ask for a current reference that can be checked through the responsible authority.

3. Put authority in writing

The appointment should state the property, services, access arrangements, spending limit, emergency authority, contractor approval process, rent or booking responsibilities, reporting frequency, document ownership, privacy expectations and termination process.

  • Define what the manager may and may not approve.
  • Set a threshold for repairs and require evidence of invoices.
  • State where keys, records and project funds are held.
  • Record how disputes and missed reports are escalated.

4. Separate oversight from certification

A visit report can record what was observed, supplied or left unresolved. It is not a survey, valuation, legal opinion, title certificate, building approval, fire certificate, tax calculation, insurance decision or financial audit.

S.E.S can discuss an evidence-and-reporting scope where agreed in writing. S.E.S does not provide or certify legal, land-registration, surveying, planning, fire, tax, financial, insurance or title matters and does not hold or release client funds.

Pause when the appointment trail is unclear

Pause before handing over keys, approving major works or sending money if the person, company, authority, licence position, scope or reporting process is unclear.

Use the relevant Ghana authority or qualified professional for matters outside an evidence-reporting scope.

Your situation is specific

Create a clearer record before responsibility changes hands.

Tell S.E.S what documents and dated observations you need to organise. An enquiry is not a regulated appointment or specialist sign-off.
